Sharing Permissions

Sharing permissions let you control how much access invited users have when they join your folders and documents.

When you share your folders or documents with other Spreadsheet.com users, you can control how much access they have when they join by specifying each invited user’s permission level.

You can change an invited user’s permission level – or revoke their access altogether – after they have joined your folder or document, but exercise caution when sharing sensitive or confidential information.

Permission levels can be adjusted from the Share folder or Share document dialogs

If you invite someone to a folder as a licensed user and they are not already a licensed user in your workspace, your workspace will be charged a prorated fee for new licenses. Learn more about licensed and unlicensed users in our article “Workspace Management”.

Workbook Permissions

When you share a workbook with other Spreadsheet.com users, you can choose the permission level with which they join the workbook.

Owner ✨ Full control to manage and share the workbook, including the ability to move and delete
Manager ✨ Full control to manage and share the workbook, but cannot move or delete
Collaborator ✨ Share workbook, create and edit rows and Views, but cannot create columns or edit Data Types
Editor Create and edit rows, but cannot share the workbook, create columns, or edit Data Types
Commenter Comment in workbook channels, row channels, and cell channels, but cannot edit or share the workbook
Viewer Read only access

Owners, Managers, and Collaborators are licensed users.

Folder Permissions

When you share a folder with other Spreadsheet.com users, you can choose the permission level with which they join the folder. Users with folder permissions inherit that same permission level for all documents in that folder, unless they have otherwise been granted a higher permission level for a document in that folder.

Owner ✨ Full control to manage and share the folder, including the ability to move and delete
Manager ✨ Full control to manage and share the folder, but cannot move or delete
Collaborator ✨ Share documents in the folder, but cannot make changes to the folder
Editor Cannot make changes to the folder
Commenter Cannot make changes to the folder
Viewer Cannot make changes to the folder

Owners, Managers, and Collaborators are licensed users.

Folder users have permissions that only apply to that folder, so if you move a document out of your folder, then folder users will no longer have access to the moved document, unless they also have access to its new folder. Similarly, moving a document into a folder will grant all folder users access to that document.

Report Permissions

When you share a Report with other Spreadsheet.com users, you can choose the permission level with which they join.

Owner ✨ Full control to manage, edit, and share the report, including the ability to move and delete it
Manager ✨ Full control to manage, edit, and share the report, but cannot move or delete it
Collaborator ✨ Full control to manage, edit, and share the report, but cannot move or delete it
Editor Read only access
Commenter Read only access
Viewer Read only access

Dashboard Permissions

When you share a Dashboard with other Spreadsheet.com users, you can choose the permission level with which they join.

Owner ✨ Full control to manage, edit, and share the Dashboard, including the ability to move and delete it
Manager ✨ Full control to manage, edit, and share the Dashboard, but cannot move or delete it
Collaborator ✨ Full control to manage, edit, and share the Dashboard, but cannot move or delete it
Editor Read only access
Commenter Read only access
Viewer Read only access

Owners, Managers, and Collaborators are licensed users.

Requesting Higher Permission Levels

If you are invited to a document as a Viewer, Commenter, or Editor, you can ask the document owner to grant you a higher permission level from within the document.

Requesting Editor Permissions as a Viewer or Commenter

If you are invited to a document as a Viewer or Commenter, you can request Editor permissions by clicking the blue button next to the document title.

When you click the Request edit access button, you will be prompted to write a message that will be sent to the document owners via email along with your request. When the document owners receive the email, they can grant you Editor permissions.

Requesting Licensed User Permissions as an Editor

If you are invited to a document as an Editor, you can request Licensed User permissions (Collaborator, Manager, or Owner) by clicking the blue button next to the document title.

From this dialog, select the permission level you would like to request and write a message that will be sent to the document owners along with your request. When the document owners receive the email, they can grant you your requested permission level.
