Navigating Workbooks

Learn how to navigate your Spreadsheet.com workbooks.

The Workbook Dropdown

Open the workbook dropdown by clicking on the downward arrow to the right of your workbook’s name. From here, you can access workbook settings like renaming, sharing, moving your workbook to another folder, and downloading and printing your workbook.

You can also access your workbook’s version history and usage, as well as delete your workbook.

The Workbook Menu

Open the workbook menu by selecting "Menu" from the workbook dropdown. The workbook menu houses the settings and submenus you might be familiar with from traditional spreadsheet software: File, Edit, View, Insert, and Format. Mouse over each option to view its submenu.

The File submenu contains workbook management features like sharing, copying, saving your workbook as a template, renaming and moving your workbook, and more.

The Edit submenu contains options for manipulating data you’ve inserted into rows like cut, copy, paste, find, and undo/redo. It also has indent and outdent options for creating row hierarchies, as well as options to delete values, rows, and columns.

The View submenu lets you control the appearance of your workbook like adding and removing gridlines, freezing rows and columns, and managing hidden sheets. You can also change row height, manage named ranges, and create new Views.

The Insert submenu lets you manipulate your worksheet by inserting new rows and columns, as well as inserting charts, images, functions, and comments into your worksheet.

The Format submenu lets you apply common formatting options like bold, italic, and underline to your data. You can also manage a selection’s data type, change vertical and horizontal alignment inside cells, merge cells, and manage conditional formatting rules.

Sheet Display Settings

Click the three-dot icon below your profile picture to access the Sheet Display Settings dialog.

With these options, you can choose to show or hide the toolbar and formula bar, as well as column icons that indicate Data Types and letters for named columns.

The Sheet View Toolbar

When you’re working in a Sheet view, the Sheet view toolbar will be visible below your workbook title.

  1. Pin Views Sidebar: Pin the Views sidebar to the left side of your browser window.
  2. Open Views Sidebar: Open the Views sidebar to manage your workbook’s views and navigate to another.
  3. Filter: Open the Filters dialog to apply filters to the current view; learn more here.
  4. Sort: Open the Sorts dialog to sort the current view’s rows; learn more here.
  5. Group: Open the Groups dialog to apply row grouping to the current view; learn more here.
  6. Hide Columns: Select which columns to hide (or unhide) from the current view; learn more here.
  7. Row Height: Adjust the height of all of the worksheet’s rows.
  8. Additional Options: Access additional options for the current view, like view locking and view permissions.
  9. Conditional Formatting: Apply conditional formatting rules to your worksheet; learn more here.
  10. Automations: Create and configure native Spreadsheet.com automations; learn more here.

The Kanban View Toolbar

When you’re working in a Kanban view, the Kanban view toolbar will be visible below your workbook title.

  1. Pin Views Sidebar: Pin the Views sidebar to the left side of your browser window.
  2. Open Views Sidebar: Open the Views sidebar to manage your workbook’s views and navigate to another.
  3. Stacked by: Specify which column your Kanban view is stacked by.
  4. Configure cards: Configure the appearance of your Kanban cards, including which images and data are displayed on them.
  5. Filter: Open the Filters dialog to apply filters to the current view; learn more here.
  6. Sort: Open the Sorts dialog to sort the current view’s rows; learn more here.
  7. Levels: Specify which level of row hierarchy is visible in your Kanban view.
  8. Additional Options: Access additional options for the current view, like view locking and view permissions.

The Calendar View Toolbar

When you’re working in a Calendar view, the Calendar view toolbar will be visible below your workbook title.

  1. Pin Views Sidebar: Pin the Views sidebar to the left side of your browser window.
  2. Open Views Sidebar: Open the Views sidebar to manage your workbook’s views and navigate to another.
  3. Using dates: Select which Date columns are used to lay out your rows as calendar events.
  4. Color: Determine how colors are applied to your calendar events.
  5. Share view: Enable iCal link sharing to share your calendar outside of Spreadsheet.com
  6. Filter: Open the Filters dialog to apply filters to the current view; learn more here.

The Form View Toolbar

When you’re working in a Form view, the Form view toolbar will be visible below your workbook title.

  1. Pin Views Sidebar: Pin the Views sidebar to the left side of your browser window.
  2. Open Views Sidebar: Open the Views sidebar to manage your workbook’s views and navigate to another.
  3. Share form: Access a share link and embed code to share your form outside of Spreadsheet.com
  4. Open form: View your form as it will appear to those you share it with.
  5. Additional Options: Access additional options for the current view, like view locking and view permissions.
  6. Conditional Formatting: Apply conditional formatting rules to your worksheet; learn more here.
  7. Automations: Create and configure native Spreadsheet.com automations; learn more here.

The Gantt View Toolbar

When you’re working in a Gantt view, the Gantt view toolbar will be visible below your profile picture in the top right corner of the screen; it controls the Gantt chart component of your view.

  1. Zoom level: Control the time granularity of your Gantt chart, ranging from hours to years.
  2. Zoom: Incrementally adjust the time granularity of your Gantt chart.
  3. Today: Automatically center your Gantt chart on today’s date.
  4. Critical path: Toggle the critical path being displayed on your Gantt chart; learn more here.
  5. Gantt appearance: Configure the visual presentation of your Gantt chart, including taskbar labels and colors; learn more here.
  6. Project Management: Open the Project Management settings dialog; learn more here.

Additionally, all of the options from the Sheet view toolbar are available below your workbook title; it controls the spreadsheet component of your view.
